Start with guest count

Capacity should be checked for the exact layout you want. A venue that works for a cocktail reception may have a very different seated-dinner limit once tables, a dance floor, stage, buffet and weather backup are included.

Compare total cost, not only the rental fee

Ask what is included in the quoted price and what must be added separately. Catering minimums, alcohol, rentals, security, staffing, cleanup, insurance and transportation can materially change the final cost.

Think about guest logistics

Location affects hotel access, parking, rideshare availability, airport convenience, shuttle needs and how easily guests can move between ceremony, reception and lodging.

Evaluate the backup plan

Outdoor venues should be compared by their bad-weather plan as carefully as their ceremony view. Ask whether the backup space can hold the same guest count and whether switching plans changes the rental terms.

Read the venue rules before falling in love

Vendor restrictions, end times, sound limits, alcohol rules, setup windows and cleanup requirements can determine whether a venue works operationally even when the setting is ideal.
